1. This group is called “TiddlyPeeps”. The group is non-profit making and will be run by the people using it (i.e. a Committee). Everyone caring for children under school age is welcome to come, and all babies and pre-school children are welcome. Mums-to-be with no other children are also welcome. The first meeting of “TiddlyPeeps” will take place on Friday 29th June 2007.
2. The purpose of the group is to provide a regular meeting place for parents/carers of young children, mums-to-be and fun activities for the children. The group meets weekly at Chinnor Village Hall from 10-12am.
3. There will be a small weekly charge of £1.50 per family (£1 per mum-to-be attending with no accompanying children) to cover the costs. Income over and above the costs incurred will be used to purchase new toys and equipment as and when necessary and can also be used to subsidise special events and activities.
4. Parents/carers are responsible for the children they have brought to the group at all times and must stay to look after them. On registering with “TiddlyPeeps”, a disclaimer must be signed.
5. Everyone is encouraged to help clear away the toys at the end of the session. Clearing away will take place between 11.45 and 12.00pm.
6. Any change in rules will be authorised at the Annual General Meeting, held in July each year.
7. The Chair, Secretary and Treasurer are the main Committee members. Other volunteers are welcome to join the Committee (please see point 9 below).
The Chair organises the session and the welcoming of new members, publicises the group, applies for grants and organises Committee meetings and the Annual General Meeting. The Chair also organises the insurance and hall hire.
Treasurer
The Treasurer collects the fees and is responsible for keeping up-to-date financial records. Two Committee members must sign to draw money out of the bank account. An account is held with Barclays Bank. The accounts will be audited every year at the start of April.
Secretary
The duties of the Secretary are to deal with and respond to any correspondence as necessary. The Secretary will also take minutes at Committee meetings and at the Annual General Meeting and deal with any secretarial duties therefrom.
8. During the first year of the group running, the Chair, Secretary and Treasurer will be appointed by those setting the group up. Committee members will be elected/re-elected at the first Annual General Meeting thereafter or earlier, should a member step down.
9. Any parent/carer attending the “TiddlyPeeps” group on a regular basis (i.e. at least 3 out of 4 sessions) can become a Committee member. Anyone wishing to do so should speak to the Chair. Anyone wishing to step down as a Committee member should notify the Chair as soon as possible.
10. “TiddlyPeeps” has a Parent and Toddler insurance policy with Morton Michel.
11. Regular risk assessments of Chinnor Village Hall and toys belonging to and used by “TiddlyPeeps” will be undertaken by a Committee member at least once a month.
12. Money will be held in a separate bank account in the name of the group. The Chair and Treasurer will both need to sign to draw money out of the account.
13. Committee Meetings will be held in January, April and October and the Annual General Meeting will be held in July of each year. The location of these meetings will be confirmed well in advance.
14. Any ideas or suggestions for the group are always welcome. These should be discussed with a member of the Committee.
